Add a booking from the back office

Learn step by step how to manually create a booking from a trip’s back office

Introduction

There are three ways to generate a booking for a trip:

  1. From checkout: the customer completes the booking process for a trip that has the Booking block integrated.

  2. From the trip back office: the agent manually fills in all the booking details.

  3. From the Traveler Portal: when a new traveler joins the trip via a QR code. This is especially useful for managing event registrations.

In this article, we’ll walk through step by step how to create a booking manually from the back office:


Step 1: Buyer details

Select a buyer from your Clients list, or create a new one. If you check the option The buyer is also traveling, the buyer will automatically be added to the booking as a traveler.

💁 Keep in mind:

  • If you select a buyer from your Clients list, any data you modify or complete during the booking creation will be saved to the existing contact.

  • If you create a new buyer, it will be saved in your Clients list.

  • You can configure which fields the buyer fills in from the Booking block.


Step 2 – Travelers’ details

Select one ore more travelers from your Travelers list, or create new ones.

💁 Keep in mind:

  • If you select a traveler from your Travelers list, any data you modify or complete during the booking creation will be saved to the existing contact.

  • If you create a new traveler, it will be saved in your Travelers list.

  • You can configure which fields the traveler fills in from the Booking block.


Step 3 – Select products and services

❗This step is only required if the proposal includes a Booking block where you have defined the base price of the trip and the services offered.

In this step, you select the products and services included in the booking, based on what was previously defined in the proposal’s Booking block.

If you use payment sections

All services offered in the payment sections can be added at this step, respecting the configuration of total capacity and the minimum and maximum number of spots per booking.

For example, if you have defined the following add-ons in a payment section of the Booking block:

If you use category-based pricing

If you use category-based pricing, in this step you will select the value of the categories for this booking, which will determine the price per person for the trip.

Step 4 – Create and send payment links

❗ This step is only required if the proposal includes a Booking block with online booking or pre-booking, and you have a payment gateway connected.

In this final step, the payments associated with the booking are created and the payment link is sent to the buyer via email.

If you are using installment payments, the payment link sent will correspond to the first installment. The remaining payments will be scheduled according to your configuration, and MOGU will automatically send them to your customer as the due date approaches.


How does it work with a registration form?

If you’re using the Booking module in your trip only to collect traveler information, i.e., as a registration form, you’ll be able to create registrations manually.
